Activity Report: Create a Scheduled Report

A scheduled report allows you to automatically email an Activity Report at regular intervals, removing the need to manually export it each time. This is particularly useful for routine weekly or monthly reporting, especially when you need visibility across multiple sites.

What this means

  • A scheduled report is a saved Activity Report configuration (filters, columns, date range) that runs automatically on a schedule.
  • When it runs, it generates the report file and sends it to the selected recipients.

When you’ll use this

  • You need the same Activity Report delivered regularly (for example, every Monday morning).
  • You want consistent reporting without reapplying filters and re-exporting each time.

Step-by-step

Common issues

Scheduled report sends too much data

What to check

  • Check the date range and the number of sites included.

What to do

  • Narrow the date range (for example, last 7 days instead of all time) or schedule separate reports per site or region.

Report takes a long time to generate or fails

What to check

  • Large scopes (many sites and long date ranges) can make file generation slow.

What to do

  • Reduce the date range, remove unnecessary columns, and try again. If you still need the full scope, create multiple scheduled reports split by site group.

Someone is receiving scheduled reports unexpectedly

What to check

  • Whether they were added as a recipient when the scheduled report was saved, or included via an admin setting that emails scheduled reports to admins.

What to do

  • Edit the scheduled report recipients, save changes, and confirm the distribution list is correct.

Why this matters

  • Scheduled reports reduce manual admin work and keep reporting consistent.
  • They help teams spot attendance and activity trends sooner, instead of waiting for someone to remember to export data.

Need help?

If the scheduled report isn’t arriving or is failing to generate, check the filters and date range first, then ask your internal admin team to confirm recipients and permissions. If it still doesn’t work, contact the Breadcrumb support team with the scheduled report name and the approximate time it should have run.
