Approve/Accept a Company Document
This article explains how to approve, or accept, a company document uploaded by a subcontractor in the NextGen UK interface. Use it when a subcontractor has submitted a document, such as RAMS, and it needs to be reviewed before it can be treated as compliant.
What this means
- A company document is a document submitted by a subcontractor company for a site.
- Approving/accepting the document makes it live in Breadcrumb for workers to view/sign.
When you’ll use this
- A subcontractor has uploaded a required document and it is pending review.
- You need to accept the document so it becomes usable for the site workflow.
- You need to set or confirm expiry details during review (if required).
Step-by-step
Common issues
I don’t see an approve/accept button
What to check
- Whether you have permission to review company documents
What to do
- If you can view but not action it, escalate to a company admin or the assigned approver for that site
I can’t approve because a review sheet/checklist is required
What to check
- Whether the document type has a required review sheet configured
What to do
- Complete the review sheet/checklist, then approve/accept
- If the checklist doesn’t match what the site needs, escalate to your site admin to review the configuration
Why this matters
- Approving company documents ensures subcontractors meet site requirements before work starts
- A consistent review process improves compliance and reduces risk during audits
