Approve a Permit Application

This article explains how to approve a permit application in the NextGen UK interface. Use it when a subcontractor has submitted a permit and it is waiting for a site team to review, accept, or reject it before work can begin.

What this means

  • A permit application is a request to complete high-risk work under defined controls and dates.
  • Approving a permit in NextGen changes it from Pending to an active status (usually Open or On Hold) depending on how the permit is configured.

When you’ll use this

  • A permit is submitted and showing as Pending.
  • You need to decide whether the work can proceed.
  • You need to confirm the permit dates, scope, and required controls before it becomes active.

Step-by-step

Common issues

I don’t see the permit in Approvals

What to check

  • You’re in the correct site
  • The permit is still Pending (not already approved/rejected)
  • You have permission to approve permits in NextGen

What to do

  • Check the Permits Register and filter by status (Pending/Open/On Hold/Closed)

The permit was approved but went to On Hold instead of Open

What to check

  • The permit’s “status after approval” configuration (set in Classic Editor)

What to do

  • This is expected behaviour based on configuration. Follow the site’s workflow to move the permit to Open when work begins (if required by that customer’s setup).

I can’t find a Close button in NextGen web

What to check

  • Closing permits is not available on the web portal

What to do

  • Close-out is completed on mobile, as it’s intended to be done on site with evidence (for example photos and physical checks).

Why this matters

  • Permits are a key compliance control for high-risk work.
  • Approving permits consistently ensures work only begins when the right controls are documented and agreed.
