Deactivate or Activate an Existing Form

If you need to prevent a form from being used, or make it available again, you can change its status between Active and Inactive in the Forms editor. This is useful for retiring outdated forms, temporarily pausing a form while updates are being made, or reactivating a form that is needed again.

What this means

  • Active form: available for use in the portal (users can access and submit it, depending on their access and where it’s used).
  • Inactive form: hidden from normal use so it can’t be submitted (it remains in the system for reference/configuration).

When you’ll use this

  • You no longer need a form, and you want to prevent new submissions.
  • A form needs changes, and you want to pause usage while it’s being amended.
  • A form was previously switched off, and you want it live again.

Step-by-step

    Common issues

Form not showing in the list

    Check:

    • You’re looking at the correct company account.
    • Display Mode is set correctly (Active vs Inactive).

    What to do:

    • Switch Display Mode to the other view and search again.
    • Refresh the page after changing the display mode.

Activated form still not usable by end users

    Check:

    • Whether the form is correctly configured for where it’s meant to be used (site/template setup, permissions, and any required settings).

    What to do:

    • Confirm the form is Active.
    • Re-check the form’s setup and any access controls that affect who can see/submit it.

    Why this matters

    • Prevents accidental submissions on out-of-date or incorrect forms.
    • Keeps your form list clean and reduces confusion for site teams.
