How Does the Documents Integration Work?

The Procore Documents integration sends documents created or collected in Breadcrumb to your Procore project automatically, helping keep the Documents tool up to date.

What this means

  • Breadcrumb creates and organises documents in a controlled folder structure, then syncs them into your Procore project’s Documents tool.
  • Documents sync on a scheduled cadence (typically overnight), so new or updated files from Breadcrumb appear in Procore without extra admin effort.

When you’ll use this

  • You want safety paperwork completed in the field (for example, permits and forms) to be available in Procore for review, audit, and record keeping.
  • You want supplier or company compliance documents collected via Breadcrumb to land in Procore Documents in a consistent structure.

Key Considerations

  1. Confirm the integration is enabled for the correct Procore company and project.
  2. In Breadcrumb, complete the workflow that produces the document (for example, a permit, form, or supplier document upload).
  3. Wait for the scheduled sync window (typically overnight).
  4. In Procore, go to the project’s Documents tool and locate the Breadcrumb folder structure.
  5. Open the relevant folder to find the document you need.
  6. If a document is updated in Breadcrumb (for example, additional signatures or a final version), the Procore file is updated to match the latest version at the next opportunity.

Common issues

Files not appearing yet

What to check

  • Confirm enough time has passed for the scheduled sync (this sync is typically overnight, not instant).

What to do

  • Wait until after the next sync window, then check again in Procore Documents.

Folder structure looks wrong or files seem “stuck”

What to check

  • Whether anyone has cut/moved the Breadcrumb folder or moved files out of it inside Procore Documents.

What to do

  • Avoid moving/cutting the Breadcrumb folder or relocating files out of it in Procore. If you need to organise files, copying is typically safer than moving.

I deleted or moved documents in Procore and now I’m not sure what will come back

What to check

  • Whether this was a one-off cleanup or a bigger restructure (especially moving/cutting folders).

What to do

  • In most cases, only new items will sync going forward. A manual “force resync” is used when you need to re-push documents and recover anything missing, but reorganising by moving/cutting Procore folders can cause problems—keep the original Breadcrumb folder intact.

Why this matters

  • It keeps Procore as the system of record for project documents while still letting teams capture information quickly at site level in Breadcrumb.
  • It reduces admin work and prevents messy, inconsistent document uploads by keeping files structured and controlled.
