Manage Visitor Types

Visitor Types are the categories people select when checking in (for example Employee, Subcontractor, Visitor). They help control which inductions and forms someone sees and can also affect what information they’re asked for during check-in.

What this means

  • Visitor Types define how people are classified when they check in.
  • Visitor Types are used to:
    • Control which inductions/forms apply to different groups
    • Reduce confusion at check-in by showing the right options
    • Keep reporting and compliance tracking consistent

When you’ll use this

  • When setting up a new company and you need the standard UK Visitor Types.
  • When a customer needs an additional Visitor Type (for example a special subcontractor group).
  • When inductions/forms should only apply to specific groups (for example subcontractors only).

Step-by-step

    Common issues

People select the wrong Visitor Type at check-in

    What to check

    • Are the Visitor Type names clear and customer-specific where needed?
    • Are there extra Visitor Types enabled that are not required?

    What to do

    • Rename Visitor Types to make them unambiguous.
    • Disable unnecessary Visitor Types on the site or template (if the platform setup allows).

Inductions are not appearing for a worker

    What to check

    • Did the person select the correct Visitor Type?
    • Is the site configured to enable Visitor Types and include that Visitor Type?
    • Is the induction restricted to a different Visitor Type?

    What to do

    • Confirm the worker’s Visitor Type selection.
    • Enable the correct Visitor Types on the site or template.
    • Update the induction restrictions to include the correct Visitor Type.

Visitor Types appear in an unexpected order

    What to check

    • The order can depend on how Visitor Types are set at the company level and/or selected for the site/template.

    What to do

    • If order is critical, re-check both the company Visitor Types setup and how Visitor Types were selected on the site/template, then re-test.

    Why this matters

    • Visitor Types help ensure the correct inductions and forms are shown to the right people.
    • Clear Visitor Types reduce check-in errors and improve compliance, reporting, and onboarding speed.
