Schedule a Site Briefing

This article explains how to schedule a site briefing so it becomes active at a future date and time. Use it when you need to prepare a briefing in advance for tomorrow’s shift or a later shift, and want it to go live automatically at the right time.

What this means

  • Scheduling a site briefing lets you create a briefing now, but set it to become active later.
  • When the scheduled briefing goes live, it replaces the currently active site briefing (if there is one).

When you’ll use this

  • You want tomorrow’s prestart briefing ready before the shift begins.
  • You’re preparing briefings for upcoming high-risk work or planned changes on site.
  • You want to avoid last-minute briefing admin during busy site start times.

Step-by-step

Common issues

I don’t see the Site Briefings option

What to check

  • Site Briefings is enabled for the company
  • Your role has site host/company host permission for that site

What to do

  • Ask your site admin to enable the feature and/or confirm your access

The briefing button/template doesn’t show for the site

What to check

  • Whether the template is site-specific and hasn’t been added to that site

What to do

  • Add it via Sites > Site Settings > Site Briefings (or follow your admin workflow)

Workers can’t see the briefing when they check in

What to check

  • Whether the briefing is actually Active (not still Scheduled or expired)
  • Whether the “valid until” date/time has already passed

What to do

  • Confirm the scheduled go-live time and validity period are correct
  • If needed, publish a new version with an updated validity window

Why this matters

  • Helps ensure every shift starts with consistent communication about hazards, changes, and expectations
  • Reduces last-minute admin and improves compliance by making sure a briefing is ready before workers arrive
