Training Guide: Site Setup
This training guide helps UK site teams set up a site in Breadcrumb so workers can check in, complete onboarding, and the site team can manage day-to-day safety workflows. You’ll use this when launching a new site, cloning a template site, or fixing a site that isn’t behaving as expected.
What this means
- “Site setup” is the process of creating a site in Breadcrumb and configuring the key settings that control how people are onboarded and how the site runs day to day.
- Most teams start by creating a site from a template, then adjusting a small set of site-specific items (site details, hosts, onboarding requirements, and any required forms).
When you’ll use this
- You’re launching Breadcrumb on a new project/site.
- You need to create a new site using an existing template.
- A site is live but workers can’t onboard smoothly (for example, missing requirements, wrong settings, or the wrong site team access).
Key Considerations
Confirm you have the right access
- Make sure you have host/admin access for the company and the site you’re setting up.
- Confirm you can access host tools in the Breadcrumb app (this is how many site team workflows are managed day to day).
- If you do not have Host or Admin access, please contact your Customer Success Manager for assistance.
Gather the site details before you build
- Site name (use the customer’s naming convention)
- Site address (as accurately as possible)
- Who the site hosts are (site managers/supervisors who will run host tools)
- What the site must collect from workers (induction, orientation, site briefing, documents, etc.)
- Go-live date and what “day 1” needs to look like
Create the site (recommended: from a template)
- Create a new site from the appropriate template.
- If you have multiple template options, choose the one that best matches the site’s workflow (for example, standard onboarding vs. more complex onboarding requirements).
Add and confirm site hosts
- Add the nominated site team members as site hosts.
- Confirm each host can:
- Open the Host area in the app
- See the site
- Run Host Check-In (if required)
- View the tools they need for day-to-day management
Review and confirm worker onboarding requirements
- Confirm what a worker must complete to be considered “ready” (depending on setup), such as:
- Induction / orientation steps
- Any required site briefing or acknowledgements
- Any required documents or competency information
- Validate the flow end-to-end using a test worker (or a controlled internal test), so you can see exactly what a worker sees.
Confirm how workers will enter the system on Day 1
- Decide which method the site will use to onboard/check workers in:
- Worker self check-in (if enabled for the site’s workflow)
- Host Check-In (site host checks workers in on their behalf)
- Align this with who will be physically running the process on site (site host vs. foreman vs. gate team).
Validate “day-to-day” host workflows
- Confirm hosts can access the core tools they’ll use most often, such as:
- Live attendance / check-in views
- Approvals (if approvals are part of the workflow)
- Site alerts / communications tools (if used)
- Confirm the site team knows what they’re responsible for vs. what should be escalated to the company admin.
Final checks before go-live
- Confirm the correct site is active and visible to the right hosts.
- Confirm the site address and name are correct (this prevents confusion when people manage multiple sites).
- Do a final “first worker” test so you can see the exact onboarding path and catch missing steps.
Step-by-step
Common issues
Hosts can’t see the site
What to check
-
They may not be added as a site host for that specific site, or they may not have host access set correctly.
What to do
-
Add them as a site host and have them fully close and reopen the app, then confirm the site appears.
Workers are getting stuck during onboarding
What to check
-
A required step may be misconfigured (for example, a required field, document requirement, or a workflow that’s enabled but not fully set up).
What to do
-
Run a test onboarding yourself and note the exact step where it stops. Adjust the requirement so it matches what the site actually needs on Day 1.
The site is set up, but the site team doesn’t know what to do on Day 1
What to check
-
The training plan may not clearly separate “who owns what” (site team vs. admin).
What to do
-
Give the site team a simple Day 1 run sheet: how workers will check in, what to do when someone fails a step, and who to contact for help.
I created the site, but settings don’t look right
What to check
-
The wrong template may have been used, or the template may not match the customer’s current workflow.
What to do
-
Compare the site against the intended template and re-apply the correct setup (or recreate the site using the correct template if needed).
Why this matters
- Good site setup prevents day-one delays and reduces rework for the site team.
- A consistent setup across sites makes training easier and support faster, especially when multiple sites go live over time.
Need help?
If you’re unsure which template or workflow to use, contact the Breadcrumb team supporting the rollout and share the site name, go-live date, and what the site needs to collect from workers on Day 1. If the site is already live and people are blocked, capture what step they’re stuck on and who is affected (worker vs. host) so the issue can be fixed quickly.
