Training Guide: Supplier Onboarding
Use this guide to invite a supplier, help them set up their supplier portal access, and make sure they can see the correct site and complete onboarding requirements. This is for UK company admins or site admins managing supplier onboarding.
What this means
- Supplier onboarding is the process of inviting a supplier contact to the supplier portal, having them create their supplier company profile, and granting the right site permissions so they can access the site.
- A supplier may successfully create their company profile but still see “no sites” until an admin links them to the correct site and enables permissions.
When you’ll use this
- When you need to invite a new supplier contact so they can access the supplier portal.
- When a supplier has created their company profile but cannot see the site yet.
- When you need to update supplier permissions so they can view activity and complete onboarding tasks.
Step-by-step
Common issues
Invite email not received
What to check
- Email address entered correctly.
- Supplier checked junk/spam folders.
What to do
- Re-send the invite to the correct email address.
- Ask the supplier to use the same email address that was used to invite.
Supplier created their company but can’t see any sites
What to check
- Supplier completed phone verification and company creation.
- Admin has linked the supplier to the correct site and saved permissions.
What to do
- Go to Sites, then Suppliers, edit the supplier permissions, and save.
- Ask the supplier to log out and back in after permissions are updated.
Supplier can see the site but can’t access what they need
What to check
- View Activity (and other required permission options) are enabled for the supplier.
What to do
- Update the supplier permissions and have the supplier refresh the portal.
Why this matters
- Getting supplier access and permissions correct early reduces delays and avoids last-minute onboarding issues before work starts.
- Clear site access and activity visibility helps keep onboarding progress trackable and auditable.
