View a Supplier's Documents
This article explains how to find and review the safety documents a supplier has uploaded for a specific site. Use it when you need to confirm whether the required documents—such as RAMS, COSHH, or insurance—have been provided, and to understand which documents are currently approved, expired, or need follow-up.
What this means
- Supplier documents are documents uploaded by (or on behalf of) a supplier for a specific site.
- What you can see depends on the document status (approved, pending, rejected, inactivated/expired) and your access level.
When you’ll use this
- You need to confirm a supplier has uploaded required safety documents for a site.
- You want to view the latest approved version of a supplier document.
- You need to check whether a document is expired (inactivated) and needs to be replaced.
Step-by-step
Common issues
“I can’t see the document I’m expecting”
What to check
- Whether you’re looking at the correct site and supplier
- Whether the document is still pending approval or has been rejected
What to do
- If the document is pending or rejected, check the Approvals area (pending/rejected supplier docs may be handled there depending on workflow)
- If the supplier hasn’t uploaded it yet, follow your site process to request the upload from the supplier
“I can’t see pending supplier documents in the Supplier Documents area”
What to check
- Whether the document is pending approval
What to do
- Pending supplier documents may not appear in the Supplier Documents tile/list for hosts until they are approved
- Use the Approvals area to view and action pending supplier documents (if you have permission)
“The document is expired but we still need it”
What to check
- Whether the document status shows inactivated/expired
What to do
- Expired (inactivated) documents are typically view-only for reference
- Ask the supplier to upload a new, current version so it can be reviewed and approved
Why this matters
- Ensures suppliers have the correct, current safety documents on file before work starts
- Reduces compliance risk by making it easier to spot missing or expired documentation early
